Image Upload Consent

This Image Upload Consent Notice explains how VANTOR GROUP LTD, trading as Snoutsong ("we", "us", "our"), handles photos, screenshots, artwork, and other images you upload when you use Snoutsong. It supplements our Privacy Policy and Terms of Service.

Please read this before you upload any image content.

1. What we collect

If you choose to upload an image, we collect the image file you submit, file details such as name, size, type, upload time, and related order information. This may include photos of pets, people, homes, names on collars/tags, or other personal information visible in the image.

2. Why we collect it

We use uploaded images only to:

  • Create, personalise, produce, package, or deliver the custom item or song you ordered
  • Understand the pet, person, style, memory, or reference you want us to use
  • Provide customer support, revisions, quality checks, and order troubleshooting
  • Comply with legal obligations and protect our rights

We do not sell uploaded images. We do not use uploaded images for unrelated advertising, public portfolio use, or social posts unless you separately give us permission. We do not use uploaded images to train AI models unless you separately agree to that in writing.

3. Consent and lawful basis

For UK and EU customers, we process uploaded images as needed to perform your order contract and, where an image includes sensitive personal data, on the basis of your explicit consent. For US customers, you consent to us collecting, storing, and using the image for the limited purposes in this Notice.

You give consent by uploading an image and confirming the upload in the order flow. You can withdraw consent at any time by emailing hello@snoutsong.com. Withdrawal does not affect processing that took place before withdrawal. If you withdraw consent before we have delivered your order, we may not be able to provide the image-personalised portion of your package.

4. Your confirmation when uploading

By uploading an image, you confirm that:

  • You own the image or have permission from the person who owns it
  • You have permission from any identifiable person shown in the image, including permission from a parent or legal guardian for anyone under 18
  • You have the right to share the image with us and allow us to use it to produce and deliver your order
  • The image does not contain unlawful, abusive, explicit, private, infringing, or harmful content

We do not knowingly collect images from children under 13.

5. How we may use the image in your item

Depending on the product or package you buy, we may use your image as a creative reference, include it in a delivered digital file, use it to create artwork, or use it to help produce a personalised item. We may crop, resize, adjust, or adapt the image where needed to complete the order.

6. How long we keep images

We keep uploaded images for 30 days after order completion, then permanently delete them unless we need to keep a limited copy for revisions, customer support, a legal dispute, chargeback, fraud prevention, or legal obligation. You can ask us to delete an image sooner by emailing hello@snoutsong.com.

7. Who sees or processes your image

Your image may be seen or processed by:

  • Our small production team
  • Vetted technical service providers, only to the extent needed to host, process, create, personalise, or deliver your order
  • The recipient of the gift, if the delivered item or song is shared with them

Service providers must process images under written terms requiring confidentiality, security, and use only for our instructed purpose.

8. Security

Images are protected using encryption in transit and access controls. Access is limited to staff and service providers who need it to deliver or support your order.

9. Your rights

You have the rights set out in our Privacy Policy, including access, deletion, rectification, objection or restriction where applicable, and the right to withdraw consent. To exercise these rights, email hello@snoutsong.com.
